1. What Flex is
1.1 Flex is an optional extra that you can add when you register for a race through RaceFinder. It gives you the right to cancel your place and receive 75% of the registration fee back, under the conditions on this page.
1.2 Flex is offered and paid for by RaceFinder LDA, Rua dos Goivos 41, 2750-236 Cascais, Portugal (NIF 519040163). Refunds come from RaceFinder directly. No insurer or outside refund service is involved, and Flex is not an insurance product.
1.3 When you add Flex at checkout, you accept these conditions. They sit alongside the RaceFinder Terms of Use and Privacy Policy.
2. Words we use
- You
- The person who pays for the registration and adds Flex.
- Athlete
- The person whose name is on the registration. It can be you or someone you registered.
- Registration
- A race entry paid on racefinder.pt through direct booking, with its own RaceFinder booking reference.
- Race
- The specific event, distance and date shown on your booking confirmation.
- Organiser
- The club, association, company or municipality that puts on the race.
- Registration fee
- The amount you actually paid for the place, after any discount code or voucher, including VAT. It does not include the RaceFinder administration fee, the Flex fee or extras such as t-shirts, meals, transport, chip rental, federation licences, day insurance or donations.
- Flex fee
- 10% of the registration fee, VAT included.
- Flex refund
- 75% of the registration fee.
- Working day
- Monday to Friday, excluding national public holidays in Portugal. Race day never counts.
3. When you can add Flex
3.1 Flex is available only for races you can book directly on racefinder.pt and only where the booking page offers it. Races where RaceFinder sends you to the organiser’s own website are not included.
3.2 You can only add Flex during checkout. It cannot be added to a registration that has already been paid.
3.3 Flex is linked to one athlete and one race. If you book several athletes at once, you choose Flex per athlete, and each place can be cancelled separately. Flex cannot be passed to another athlete or moved to another race.
4. Price and money back
4.1 The Flex fee is always 10% of the registration fee and already includes VAT. The Flex refund is always 75% of the registration fee. Both are calculated on what you actually paid after discounts and are shown at checkout before you pay. For example, if a €40 registration costs €30 with a discount code, Flex costs €3 and the Flex refund is €22.50.
4.2 For a half marathon with a €40 registration fee:
4.3 The Flex fee, the administration fee, the remaining 25% of the registration fee and any extras are kept, except where section 8.1 or the law says otherwise.
4.4 You don’t need to tell us why you are cancelling, and we will not ask for medical certificates or other proof.
5. Your deadline
5.1 Your cancellation email must reach us by 23:59 on the 7th working day before race day, in the local time where the race takes place. For races in the Azores, Azores time applies.
5.2 Example for a race on Sunday 14 March 2027:
The deadline is 23:59 on Thursday 4 March. Each public holiday that falls in those seven days moves the deadline one working day earlier.
5.3 The time our mailbox receives your email decides whether it is on time. After the deadline, Flex can no longer be used and nothing is refunded under it. Not turning up on race day does not count as cancelling.
5.4 Your exact deadline, with date and time, is shown at checkout and in your booking confirmation email. If the deadline shown there is later than the one that results from this section, the later one applies.
6. How to cancel
6.1 Send an email to support@racefinder.pt from the address you used to book, with:
- the subject Flex cancellation [booking reference];
- your full name and booking reference;
- the race name and date;
- the name of each athlete whose place you want to cancel.
6.2 Only the person who made the booking can cancel it, by writing from the email address used for the booking. This also applies to places booked for other athletes: an athlete registered by someone else should ask that person to cancel. If you write from a different address, we will ask you to confirm from your booking address or to confirm the booking details, such as the amount and date of payment, before we accept the request. Your request still counts as on time if your first email arrived before the deadline.
6.3 Only email to support@racefinder.pt counts. Messages on Instagram, Facebook, phone calls, the website contact form or requests made to the organiser are not accepted as Flex cancellations.
6.4 Within 5 working days of receiving your email, we will confirm the cancellation or tell you why it can’t be accepted.
6.5 Once confirmed, the place is cancelled for good and we let the organiser know. It cannot be restored.
7. Getting paid
7.1 We pay the Flex refund within 14 days of confirming your cancellation or, if we need your IBAN, within 14 days of receiving it.
7.2 Card and MB WAY payments are refunded to the same card or MB WAY account, where our payment provider allows it. Payments by Multibanco reference cannot be returned to the original method, so for these, and whenever a refund to the original method is not possible, we will ask for an IBAN in your name and pay by bank transfer.
7.3 The payment will show as coming from RaceFinder LDA. It can take a few extra working days for your bank to show it. We pay in euros and do not cover currency conversion or bank charges on your side.
8. If the race changes
8.1 The race is cancelled. Flex is for your own decision to cancel, so it does not pay out when the organiser calls off the race. What you receive then depends on the organiser’s rules and on consumer law. We will forward the organiser’s information and help you through it. If the race is called off before your Flex deadline, we also return the Flex fee. If it is called off later, the Flex fee is kept unless the law requires otherwise.
8.2 The race moves to a new date. Your registration and Flex move with it, and your deadline is counted from the new race day. If the race is brought forward and that deadline has already passed, or is less than 5 working days away when we tell you about the change, you can cancel until 23:59 on the 5th working day after we notify you, and never later than 23:59 on the day before the new race day. If the new date doesn’t work for you, you can either use Flex before your deadline or take whatever option the organiser offers for the change. Using Flex does not remove any rights the organiser’s rules or the law give you.
9. When Flex can’t be used
9.1 Flex ends without a refund if:
- you transfer the place to another athlete, or move it to another edition or race;
- you receive a refund from the organiser for the same place;
- the organiser removes the athlete for breaking the race rules;
- the registration was free or paid in full with a voucher, credit or prize.
9.2 We can refuse a Flex refund, or ask for it back, only if the information given in the booking or the cancellation was false, if the athlete collects a bib or takes part after cancelling, if a card or payment dispute (chargeback) is opened for the same registration, or if the booking was paid with a payment method used without its holder’s permission. Using Flex on several registrations is not in itself a reason to refuse it.
9.3 Changing distance at the same race. If the organiser lets you switch to another distance at the same race and edition, Flex stays active. From then on, the registration fee is the total you have paid for the place, minus any amount the organiser refunded. If the new distance costs more, you pay 10% of the difference as an extra Flex fee when you pay the difference. If it costs less, the Flex fee already paid is not reduced.
10. The race organiser’s role
10.1 Flex is an agreement between you and RaceFinder. The organiser is not part of it and owes you nothing under it.
10.2 Our Terms of Use say that refunds are normally the organiser’s responsibility. Flex is the exception: for registrations with Flex, RaceFinder pays the Flex refund itself. Where the two documents differ on Flex, these conditions apply.
10.3 The race itself, including its course, safety, timing, results and rules, remains the organiser’s responsibility.
11. Your data
11.1 We use the details from your booking (name, email, booking reference, race and amounts paid) and, if needed, your IBAN, only to handle your cancellation, pay you, prevent misuse and keep the accounting records the law requires. This follows the GDPR and our Privacy Policy.
11.2 We tell the organiser only that the athlete’s place has been cancelled. We never share your bank details with the organiser or anyone else.
12. Your rights and complaints
12.1 These conditions do not reduce any rights you have as a consumer under Portuguese or EU law.
12.2 Race registrations are leisure services for a set date, so the usual 14-day right to withdraw from online purchases does not apply to them (Decree-Law 24/2014, article 17(1)(l)). Flex gives you a way to cancel that you would not otherwise have.
12.3 If something goes wrong, write to support@racefinder.pt first and we will try to fix it. You can also file a complaint in the Livro de Reclamações Eletrónico or turn to a consumer dispute resolution centre. The list of centres is on consumidor.gov.pt.
12.4 Portuguese law applies. Disputes go to the competent Portuguese courts, without affecting your right as a consumer to go to the courts where you live when the law allows it.
13. Final provisions
13.1 We may update these conditions. The version shown when you bought Flex is the one that applies to you, and later changes will never lower your refund or shorten your deadline.
13.2 If part of these conditions turns out to be invalid, the rest still applies.
13.3 Flex is personal to you and cannot be sold or handed over.
13.4 These conditions are published in Portuguese and English. If they differ, the Portuguese text applies.
